Capital Area Michigan Works! (CAMW!) 
Lansing, Michigan | Full-Time |  Non-Exempt  |  On-Site Position w/ periodic flexibility to work from home

We are  seeking an organized, proactive, and service-oriented  Office Administrator to  help   ensure the smooth operation of our Lansing office while providing executive support to our Chief Executive Officer. This is an excellent opportunity for a professional who enjoys balancing administrative responsibilities, office coordination, problem-solving, and relationship management in a mission-driven organization.  

 

Essential Responsibilities  

 

Office Operations & Coordination  


  • Oversees daily office operations to ensure efficiency, organization, and a positive work environment.  


  • Serves as the primary point of contact for office-related vendors, service providers, and facility needs.  


  • Supports onboarding  logistics for new employees, including workspace setup and coordination of materials.  


  • Supports basic tracking of office-related expenses, purchases, and budgets.  

 

Administrative & Organizational Support  


  • Provides hands-on administrative support including scheduling, document preparation, filing, and communications.  


  • Coordinates internal meetings, trainings, and events, including  logistics , materials, and follow-up.  


  • Assists with tracking and  maintaining organizational documents, records, and files.  


  • Makes travel arrangements for executives and other administrative staff.  


  • Opens, sorts, and distributes incoming correspondence, including mail,  faxes and email.  


  • Adds and edits information on the CAMW! website.  


  • Processes bi-weekly payroll in coordination with the CFO.  


  • Supports cross-functional coordination to ensure alignment and  timely completion of tasks and projects.  


  • Partners with leadership to support organizational needs and special projects.  


  • Manages the CEO’s calendar, including scheduling meetings, prioritizing commitments, and coordinating  logistics .  


  • Assists with coordinating communication on behalf of CEO, including written correspondence.  


  • Supports board-related activities, including scheduling meetings, preparing materials, and  maintaining documentation.  


  • Handles confidential and sensitive information with discretion and professionalism.  

 

 

What We're Looking For  

 

Required Qualifications  


  • Associate's degree or  higher in business administration, office administration, or  a related field preferred.  


  • Three (3) to five (5) years of experience in office management, executive support, or administrative operations.  


  • Strong  proficiency in Microsoft Office and Google Workspace.  


  • Excellent organizational, communication, and time management skills.  


  • Ability to manage multiple priorities and deadlines with accuracy and professionalism.  

 

Preferred Qualifications  


  • Experience supporting executive leaders or boards.  


  • Experience coordinating vendors, facilities, or office operations.  


  • Knowledge of workforce development programs or community-based organizations.  


  • Experience processing payroll or supporting financial administration.
